2. Data Collection and Usage

We collect information that you configure directly inside the Studio to enable agent orchestration:

• Account Details: Your name, email address, and authentication credentials when registering.
• Workflow Configuration: Graph state, nodes, intent parameters, LLM model connections, and API integration details.
• Agent Interactions: Inbound/outbound call logs, text transcripts, and audio recordings generated during agent runs for quality and debugging purposes.

3. API Keys & Credentials

Any third-party credentials, such as OpenAI API keys, Gemini API keys, or Google Service Account files, are handled with strict security protocols. We encrypt credential data at rest and transmit them only to verify and execute node configurations securely.

4. Data Sharing & Third-Parties

OOUM AI Studio does not sell your data. We share configurations and transcripts with third-party service providers (such as Google Cloud, OpenAI, or LiveKit) solely as required to run your workflows and process speech-to-text or text-to-speech.

5. Google User Data

When you connect your Google account, OOUM AI Studio requests access to your Google Calendar (calendar.events). We read your existing events to determine your availability, and we create, update, or cancel events so your AI agent can book, reschedule, or cancel appointments on your behalf. We store event data only as needed to display and manage these bookings, and we access this data only while performing these actions at your or your end-customers' request.

You can revoke OOUM AI's access at any time at myaccount.google.com/permissions, and you may request deletion of stored Google data by emailing hello@ooum.ai.

6. Data Retention

We retain different categories of data for different periods:

• Google Calendar event data is retained for up to 90 days after a booking is completed or cancelled, after which it is automatically purged from our systems.
• Call logs and transcripts are retained for up to 90 days to support quality review and debugging, unless you request earlier deletion.
• Account and configuration data is retained for the life of your account and deleted within 30 days of account closure.
• You may request deletion of any stored data at any time by contacting hello@ooum.ai. Requests are processed within 14 business days.
